Our Cancellation Policy

We understand that plans can change, and we aim to be fair while also protecting our calendar and operations. Please review our cancellation policy below:

Full Refund (Including Security Deposit)

If a guest cancels 30 days or more before check-in, they will receive a full refund, including the security deposit.

Partial Refund (Security Deposit Non-Refundable)

If a guest cancels between 15 and 29 days before check-in, the security deposit becomes non-refundable, but the remaining balance will be refunded.

No Refund (Full Amount & Deposit Non-Refundable)

If a guest cancels within 14 days of check-in, the entire amount paid, including the security deposit, is non-refundable.

We encourage guests to book with confidence and consider travel insurance to cover unforeseen circumstances.

Terms and Conditions

These Terms and Conditions govern the temporary occupancy of Calibrate Estates vacation properties and outline the policies applicable to all reservations, guests, and stays. By booking and occupying any Calibrate Estates property, guests agree to abide by these Terms and Conditions and all referenced rules and policies.

1. Reservation, Payments, and Cancellations

1.1 Reservation and Payments

An initial payment is applied toward the total cost of the reservation as specified at booking.

All major credit cards may be accepted for payments; additional payment methods may be provided at the time of booking.

If check or other offline payment methods are allowed, instructions will be provided during the booking process; such methods may not be accepted within 30 days of arrival.

1.2 Security Deposit / Authorization Hold

A security deposit or pre-authorization hold in an amount communicated during booking (typically 250–750 dollars) may be required.

This deposit/hold may be used for:

Damage to the property or furnishings

Excessive cleaning or trash removal

Fines, HOA penalties, or other costs caused by the guest, their party, or visitors

When applicable, and if no deductions are required, the deposit/hold is typically released within 7 days after check-out.

1.3 Damage Waiver (If Offered)

If a separate damage waiver fee is charged, it may waive the guest’s financial responsibility for unintentional damage up to a stated limit per stay (for example, up to 3,000 dollars), as described at booking.

Damage exceeding that limit, or excluded from waiver coverage (for example, intentional or negligent damage), remains the guest’s responsibility.

Guests must promptly report any damage for coverage to apply.

1.4 Cancellation Policy

Cancellations are governed by the cancellation policy displayed at the time of booking on the applicable booking channel.

That policy controls the timing and amount of any refund, administrative fee, or forfeiture of payments.

2. Property, Occupancy, and Use

2.1 Property and Ownership

Each “Rental Unit” is the specific property identified in the reservation confirmation.

Properties are privately owned by independent owners, and Calibrate Estates acts as management/agent on their behalf.

2.2 Rental Party and Maximum Occupancy

The “Rental Party” includes the primary guest and all persons listed on the reservation.

The maximum occupancy is the number specified in the reservation; exceeding this occupancy is not permitted.

Unauthorized guests (including visitors and overnight guests beyond the stated occupancy) may result in:

A charge of 50 dollars per person per day

Termination of the stay without refund

2.3 License Only

Guests receive a limited, revocable license to occupy the property for temporary vacation use only.

This is not a lease and does not create a tenancy or any other property interest.

2.4 Permitted Use

Properties may be used only for residential vacation purposes by the registered Rental Party.

Business activities, commercial use, or events are prohibited without prior written approval from Calibrate Estates.

3. Check-In, Check-Out, and Access

3.1 Check-In / Check-Out Times

Standard check-in time is 4:00 p.m. or later on the scheduled arrival date.

Standard check-out time is 11:00 a.m. or earlier on the scheduled departure date.

Early check-in and late check-out may be offered at Calibrate’s discretion and may incur additional fees.

3.2 Late Departure / Holdover

Guests who stay beyond the scheduled check-out time or delay housekeeping or maintenance may be charged starting at 55 dollars per hour (pro-rated) after 11:30 a.m.

Continued holdover may result in removal, additional charges, and liability for any resulting costs.

3.3 Access for Management

Calibrate Estates, the property owner, and their agents may enter the property at reasonable times for inspection, maintenance, repair, or to resolve issues and rule violations.

In case of emergency or suspected violation of law or these Terms, entry may occur at any time.

3.4 Pre-Check-In Requirements

Guests may be required to:

Electronically accept these Terms and any supplemental house rules

Provide a valid government-issued photo ID

Complete a pre-arrival or verification form

Refusal to complete pre-check-in requirements may result in cancellation of the stay without refund.

3.5 Minimum Age

The primary guest must typically be at least 25 years of age (or a higher age if required for a specific property or community).

A readable copy of a valid driver’s license or ID may be required prior to arrival.

4. Cleanliness, Maintenance, and Furnishings

4.1 Cleaning and Condition

Properties are professionally cleaned and inspected before and after each stay.

Guests are responsible for maintaining the property in a clean, orderly, and sanitary condition during their stay.

If cleanliness or condition is unsatisfactory upon arrival, guests must promptly notify Calibrate Estates so concerns can be addressed.

4.2 Guest Responsibilities

Guests must:

Properly bag and dispose of trash according to property-specific instructions

Avoid creating unsanitary conditions or excessive trash

Use appliances, systems, and amenities as intended

Failure to maintain reasonable cleanliness may incur additional cleaning fees starting at 150 dollars or more.

4.3 Damage and Reporting

Guests must promptly report any damage, malfunction, or safety concern at the property.

Failure to report may increase liability, void damage-waiver coverage, and result in additional charges.

4.4 Furniture and Layout

Guests may not move heavy furniture, disconnect electronics, or alter the layout without prior approval.

Unauthorized furniture rearrangement may result in a 100 dollar fine plus any repair costs.

4.5 Furniture and Bunk Beds – Assumption of Risk

Guests accept all liability for the use of furniture, including bunk beds and elevated sleeping areas.

Calibrate Estates and property owners are not liable for injuries, accidents, or death resulting from the proper or improper use of furniture or bunk beds.

4.6 Child Safety

Properties are not childproof.

Parents, guardians, and responsible adults must supervise children at all times.

5. Noise, Conduct, and Community Rules

5.1 Quiet Hours and Noise

Quiet hours generally run from 9:00 p.m. to 7:00 a.m., or as specified by the applicable community or township.

Unreasonable noise or disturbances that bother neighbors or violate local regulations may result in:

Fines starting at 500 dollars

Revocation of the occupancy license

Eviction without refund

5.2 Parties, Events, and Gatherings

Parties, events, or large gatherings beyond the stated occupancy are not allowed without written approval.

Violations may result in a 500 dollar fine, additional damage charges, and immediate termination of the stay.

5.3 Smoking and Vaping

All properties are non-smoking indoors.

Smoking or vaping inside or within 25 feet of the home (or as otherwise posted) is prohibited.

Evidence of smoking or vaping may result in cleaning and deodorizing fees starting at 500 dollars and up to 1,000 dollars, plus any additional damage.

5.4 Monitoring and Tampering

Certain properties may use noise or smoke-detection technology (non-recording) to monitor excessive noise or potential policy violations.

Tampering with or disabling any such devices is prohibited and may result in fines beginning at 250 dollars.

5.5 Fireworks and Hazardous Items

Fireworks of any kind, including sparklers, are strictly prohibited.

Candles, open-flame devices, and hazardous or explosive items are not allowed unless explicitly authorized.

Violations may result in fines up to 1,000 dollars and immediate eviction.

5.6 Illegal Activity and Weapons

Illegal activities, including illegal drug use, prostitution, or production of pornography, are strictly prohibited.

Firearms and weapons are prohibited except as lawfully possessed by on-duty or off-duty law enforcement or licensed security personnel.

Violations may result in a 500 dollar fine, eviction, and notification of authorities.

5.7 Community / HOA Rules

Guests must comply with all HOA, condominium, and community regulations applicable to the property.

Fines imposed by HOAs or local authorities due to guest conduct will be charged to the guest and may range from 250 to 1,000 dollars per incident.

6. Outdoor Areas, Parking, and Snow

6.1 Parking

Parking is limited to designated spaces or driveways associated with the property.

Parking on roads or shoulders may be prohibited by community or local rules.

Unregistered or improperly parked vehicles may be subject to:

Fines of 100 dollars per day

Towing at the guest’s expense

Recreational vehicles, trailers, and boats may be prohibited unless prior written approval is obtained.

6.2 Snow and Ice

Driveway snow plowing may be provided after a specified accumulation (for example, after 4 inches), depending on the property.

Guests are responsible for clearing snow and ice from walkways, stairs, and entry areas during their stay.

Surfaces can be slippery when wet or icy, and guests assume all risk of injury related to such conditions.

6.3 Outdoor Fires and Grills

Outdoor fires are only permitted where explicitly allowed by the specific property and community.

Guests must follow all posted rules for fire pits, fireplaces, and grills and must never leave them unattended.

Guests accept full responsibility and liability for any damage or loss caused by misuse of fire pits, grills, or outdoor fires.

7. Pets, Service Animals, and Wildlife

7.1 Pet Policy

Pet eligibility, limits, and fees vary by property and are clearly stated in the listing.

Where pets are allowed, they typically require:

Pre-approval

Pre-stay registration (including type, size, breed)

Payment of applicable pet fees

7.2 Pet Fees and Liability

Pet fees may be charged per pet per night and/or per stay, subject to any published caps.

Guests are responsible for:

All pet-related damage

Extra cleaning, odor removal, and pest treatment

Any HOA or community fines triggered by pet behavior

7.3 Unauthorized Pets

Bringing unapproved or unregistered pets may result in:

A minimum fine of 250 dollars or a deep-clean fee where required

Additional damage and cleaning charges

7.4 Service Animals

Legitimate service animals are permitted where required by law; advance notice is requested.

Documentation or permitted verification may be requested consistent with applicable regulations.

7.5 Wildlife

Guests must not feed, approach, or harass wildlife.

Guests assume all risk for any injury, damage, or consequences related to wildlife interactions or violations of this rule.

8. Pools, Hot Tubs, and Amenities

8.1 Use at Own Risk

Use of pools, hot tubs, saunas, decks, and similar amenities is at the sole risk of guests, their party, and visitors.

Surfaces may be slippery, and water features involve inherent hazards; guests assume all risk of injury or death.

8.2 Rules of Use and Fees

No glassware is allowed in or near pools, hot tubs, or saunas; violations may result in a 250 dollar fine plus damage or cleanup costs.

Misuse, contamination, or damage to pools, hot tubs, or similar amenities may result in additional service fees (often between 25 and 250 dollars or more, depending on severity).

8.3 Common Areas and Surveillance

Common areas such as hallways, lobbies, and parking areas may be monitored by video surveillance for safety and security.

Guests must behave respectfully and avoid loitering, soliciting, or disruptive conduct in common areas.

9. Mail, Packages, and Personal Property

9.1 Mail and Deliveries

Properties do not accept personal mail or package deliveries for guests unless explicitly stated.

Items shipped to the property may be refused, returned, or lost; neither Calibrate Estates nor the property owner is responsible for such items.

Guests should use local postal services, lockers, or pickup facilities for deliveries.

9.2 Lost and Left-Behind Items

Calibrate Estates and owners are not responsible for personal items lost, stolen, or left behind at the property.

Retrieval of left items, if possible, may incur handling and shipping fees.

10. Insurance, Risk, and Indemnification

10.1 Guest Insurance

Insurance carried on the property generally does not cover guests’ personal property.

Guests are encouraged to purchase travel insurance and/or renters’ insurance to cover trip interruptions, cancellations, and personal belongings.

10.2 Assumption of Risk

Guests acknowledge that use of the property and any amenities involves risks, including personal injury, property damage, illness, and death.

By occupying the property, guests voluntarily assume all such risks for themselves, their party, and their visitors.

10.3 Indemnification

Guests agree to indemnify and hold harmless Calibrate Estates, property owners, and their affiliates, employees, agents, and contractors from any claims, damages, losses, or expenses arising out of:

Use or occupancy of the property or common areas

Violation of these Terms or community rules

Violation of law or regulations by the guest, their party, or visitors

10.4 Service Interruptions and Acts of God

Calibrate Estates and property owners are not liable for interruptions or failures of utilities or services, or for events beyond their control (including severe weather, natural disasters, or actions of public authorities).

Inability to travel to or occupy the property due to such events may not entitle guests to refunds beyond what is provided in the applicable cancellation policy.

11. Violations and Remedies

11.1 Policy Violations

Violation of any provision in these Terms, property-specific house rules, or community regulations may result in:

Fines

Deduction from the security deposit or charges to the payment method on file

Termination of the stay and revocation of the license to occupy

Eviction without refund

11.2 Costs, Fines, and Fees

Guests are responsible for payment of all:

Cleaning fees caused by misuse or neglect

Damage repairs and replacement costs

HOA or municipal fines triggered by guest conduct

Collection costs, including reasonable attorney’s fees, associated with enforcing these Terms

12. Governing Law and Dispute Resolution

12.1 Governing Law

These Terms and Conditions are governed by the laws of the state and local jurisdiction in which the property is located.

12.2 Dispute Resolution

In the event of a dispute, Calibrate Estates encourages informal resolution with guests.

If unresolved, disputes may be submitted to mediation or other agreed forms of alternative dispute resolution before litigation, where permitted by law.

12.3 Venue

Any legal action, where required, shall be brought in a court of competent jurisdiction in the county where the property is located, unless applicable law provides otherwise.

By continuing with a reservation, accessing the property, or remaining on site, guests agree to these Calibrate Estates Terms and Conditions and to any additional house rules or policies communicated for the specific property.”
